General Rules STUDIO RULES: • NO STEPPING ON THE CURVE OF THE CYCLORAMA WALL AT ANY TIME! • ONLY PEOPLE ON THE PRODUCTION LIST CAN BE INSIDE THE STUDIO. • ALL STUDIO RENTAL EQUIPMENT MUST BE USED WITH CARE AND LEFT IN THE SAME CONDITION AS RECEIVED OR ADDITIONAL FEES MAY APPLY. • ALL RENTAL EQUIPMENT MUST BE RETURNED ONLY BY THE PERSON ON THE RENTAL CONTRACT. • MUSIC IS TO BE KEPT AT REASONABLE LEVELS (THERE ARE OTHER PEOPLE AT WORK). • PRODUCTION CREW MUST WEAR SHOE COVERS BEFORE STEPPING ON THE CYC-WALL. • NO FOOD OR DRINKS ON THE CYC-WALL SPACE. • NO SMOKING IS ALLOWED INSIDE THE STUDIO. PROJECTS INVOLVING SMOKE MUST HAVE THE PRIOR CONSENT OF A COMPANY REPRESENTATIVE. • NO PETS ALLOWED WITHOUT PRIOR CONSENT OF A COMPANY REPRESENTATIVE. • NO ONE WILL BE ADMITTED WHO IS UNDER THE INFLUENCE OF ALCOHOL OR ILLEGAL SUBSTANCES • ADDITIONAL FEES MAY APPLY FOR SPECIAL LOAD IN REQUESTS, EXCESSIVELY DIRTY STUDIOS, LARGE GROUPS, OR PRODUCTION CREWS EXCEEDING 12 PEOPLE (SEE RENTAL RULES BELOW). Productions with scenography or large props NEED TO check with our studio coordinator before the date of rental - NO LARGE PROP will be allowed on the premises UNLESS previously discuss. If the scenography or props damage or scratch the cyclorama, a repair charge will be included. BUILDING RULES: • Outside catering is allowed • No alcohol allowed after 8 pm • No wandering in the showroom while part of the shoot. • No un-authorized personal after-hours ADDITIONAL RENTAL REQUIREMENTS/RULES: • 100% rental price required for all bookings. Booking won’t be guaranteed unless its paid in full. • A credit card and ID will be needed at the beginning of the rental - as well as all signed documents of liability and responsibility. • Fees for additional time that was not billed during the initial booking will be due at the end of the rental period. • Rental time begins promptly at the prescribed starting time and ends promptly at the prescribed ending time, regardless of whether the renter and/or renter’s party is late. • Rental time includes load-in, setup, tear down, and cleaning. The studio must be cleaned and vacated by the scheduled end time and no later, please consider this when booking your rental THE FOLLOWING CHARGES MAY APPLY FOR ALL RENTALS: For studio A any same-day extension hourly fee will be charged at $180 per hour. Cleaning Fee $120 | Re-painting fee $500 | Full color painting $1000 | Cars & motorcycles - $200 two (in & out) available per car. CANCELLATION POLICY: ANY ADJUSTMENT TO STUDIO BOOKINGS MUST BE DONE 2 DAYS IN ADVANCE. ALL CANCELATIONS MADE WITH LESS THAN THE WINDOW OF CANCELATION WILL BE CHARGED A 50% FEE. IF THERE IS A NO-SHOW FULL RENTAL TIME WILL BE CHARGED. OUR STUDIO SPACES ARE NOT TO BE USED FOR PRIVATE EVENTS WITHOUT CONSULTATION. IF YOU WANT TO HOST AN EVENT OR WORKSHOP INSIDE OF OUR SPACE, PLEASE REACH OUT. ADDITIONAL DISCLOSURES: LENGTH OF USE Rental periods are pre-arranged at the time of booking. Photographer’s rental time begins promptly at the designated starting time and ends promptly at the designated ending time. Time includes set up and break-down. The studio must be cleaned and vacated by the end of the rental period. No prior drop-off and/or pick-up after completion of the shoot, of equipment, props, etc. unless negotiated at time of rental contract. Additional fees may apply. Early or extended hours WILL incur on an additional charge. CLEANING & TRASH Photographer agrees to leave the Premises and all contents and fixtures in the same condition as they were when Photographer arrived. The company will dispose of trash collected in the supplied trash cans. The photographer must discard larger items, such as personal props and set pieces. Disposal of large amounts of garbage due to large sets may also accrue additional costs. All items brought to the Premises by the production crew are to be removed by the production crew. Items left after 7 days will be assumed abandoned and may be discarded or kept by the Company for Company use. If Photographer does not return Premises to the order and cleanliness found when Photographer arrived, Company will charge at minimum a $120 cleaning fee to be charged. If studio white cyclorama is ripped, tainted or stained by the heavy use of shoes and props, the photographer agrees to a $500 fee for re-painting the cyclorama, therefore allowing us to get the premises back to the state when the production crew first received the studio. WAIVER OF LIABILITY Use of AVC PHOTO STORE AND SCHOOL’s Premises and equipment is at Production company or photographer’s risk. Production company or photographer ( Renter) hereby agrees that AVC PHOTO STORE AND SCHOOL will not be held liable for any direct, indirect, incidental or consequential damage, injury or loss to production crew, his party or possessions while on the Premises. Renter holds harmless and indemnifies AVC PHOTO STORE AND SCHOOL ( Company) and its owners, agents, representatives, associates, officers, employees, guests and tenants against any suit, claim, loss, accident, judgment, fine, injury or damages, including reasonable attorney’s fees. This indemnification shall continue in full force and effect during and after the term of the rental for such causes arising during the term of the rental. CONDUCT This is a shared studio and we maintain a professional environment. Renter shall be solely responsible for the conduct and welfare of all persons accompanying them while on Company’s Premises. Renter agrees that a Company representative may, at Company’s sole discretion, be present at all times. If the representative observes or otherwise becomes aware of dangerous, pornographic, illegal or negligent practices or activities, the representative reserves the right to stop the shoot and may require Renter and Renter’s party to leave immediately. The authorities will be alerted to any illegal activities witnessed by the company representative. In such case no refund will be given for unused time. However, company and its representatives assume no responsibility to act in such cases. AGE OF MODELS Renter is solely responsible for verifying that all photographic subjects are of legal age or accompanied by a parent or legal guardian. Company has no responsibility to determine or verify the age of participants in the Renter’s activities but reserves the right to demand proof of parental consent if models or photographic subjects are under the age of 18 and to end those activities if Company becomes aware that legal age violations are occurring. Company is not liable in the case of an invalid ID or any other form of age verification. INSURANCE Businesses, Corporations, Production Companies and other legal entities may be required, prior to rental, to present a certificate of general liability insurance naming AVC PHOTO STORE & SCHOOL as additionally insured on the dates of the rental. If so required, Renter’s liability insurance shall be deemed primary and non-contributory insurance in the event of any claim or suit. Liability insurance shall be Commercial General Liability with a minimum of $1,000,000 per occurrence & annual aggregate. EQUIPMENT Renter agrees to provide equipment in good working order, but makes no special guarantees as to said equipment’s functionality or suitability to Renter’s purposes. Renter shall notify Company immediately of any malfunction, damage or other issues with the equipment. There is no studio phone service provided. Renter is advised to bring a cell phone. WiFi internet service is available during the rental period. Code for access will be provided in the rental agreement. DAMAGE Renter shall be solely responsible for any damage to Company’s property or equipment that occurs during the time Renter or his party occupies the Premises. Damage deposits will be held until repairs can be made. If the damage exceeds the amount of the damage deposit, Renter agrees to pay reasonable additional repair costs to bring damaged equipment back to working condition. Renter agrees to pay for damage to the Premises including spills, excessive wear, marks or stains on furniture, fixtures or painted surfaces. PRODUCTION INSURANCE IS REQUIRED Businesses, Corporations, Production Companies and other legal entities may be required, prior to rental, to present a certificate of general liability insurance naming AVC PHOTO STORE & SCHOOL as additionally insured on the dates of the rental.
